Operations Coordinator – Gift Processing

The Operations Coordinator – Gift Processing (OC-GP) is responsible for performing a wide range of donor services, including responding to donor inquiries via email, website, postal mail, SMS, phone, email and in-person; accepting, entering, reconciling, acknowledging and reporting donations; entering demographic data into Salesforce NPSP; importing demographic, donation, and event participation files from CCRF’s external vendor(s) and the CCRF website; and, assisting at events. The OC-GP is responsible for ensuring the highest level of customer service to donors, prospects, event attendees, internal staff, and vendors – focused on office supplies and scheduling office visits.

Responsibilities of this role:

  • Enter gifts and pledges, verifying the quality of data entry from all sources and resolving problems regarding the data
  • Process credit card transactions, ensuring PCI compliance
  • Assist in matching gift process
  • Verify and import cager, and event donation and participation files
  • Import donation files from various organizations
  • Update and manage cashbook and daily deposit reconciliation, batch cover sheets for Finance
  • Provide backup for bank deposit processing in Deposit Edge
  • Process returned mail & prepare return coins for deposit
  • Research and problem solve issues that arise via financial and Salesforce NPSP
  • Process donation adjustments
  • Save gift documentation, as needed
  • Provide exceptional customer service to donors and staff
  • Daily, promptly respond to donors’ requests for information via mail, or email; including gathering gift & pledge payment information, and updated credit card information. Route to appropriate staff
  • Promptly respond to donors’ requests for information relating to giving processes, procedures, opportunities to designate a gift, how to make a tribute gift, stock gift, W9 or 501(c)(3) form requests, issues with donating online, need for duplicate tax receipts or thank you letters
  • Accept donations and event registrations in-person
  • Daily, monitor and manage shared email inboxes for website contacts from general public, donors, third party payers, and other organizations. Process inquiries or route to appropriate staff.
  • Participate in and support Special Events, as scheduled
  • Update constituent records (e.g. address changes, payment information, contact preferences, merging duplicate constituents) in Salesforce NPSP
  • Work on Clean Up projects as assigned
  • Daily, prepare and mail gift acknowledgements, tribute notifications, soft credit, and other non-tax donor acknowledgements
  • Point of contact for building & maintenance needs, coordinates visitors that need office access
  • Monitor & order in-office supplies, as needed

Minimum Qualifications:

  • Associate's degree or any combination of equivalent experience (associate's degree in relevant field OR two years of work experience in a relevant field OR one year of work experience with one year of college)
  • Microsoft Office proficiency, particularly word and excel
  • Strong attention to detail, organization and prioritization skills
  • Ability to work independently yet collaboratively with multiple teams or departments
  • Excellent verbal and written communication skills
  • Good judgment and the ability to maintain confidential information

Preferred Experience and Qualifications:

  • Bachelor's degree
  • Experience in set-up of mail merges
  • Direct Customer Service experience
  • Experience with financial reconciliation
  • Salesforce NPSP experience

Pay

  • $40,000
  • This role is non-exempt (you will be paid overtime for any work over 40 hours in a week)
  • This position is full-time, M-F, and will require 2-3 days in the office (depending on season), occasional Saturdays and evenings
